Benvenute ad una nuova puntata di Impact Girl! Questo è un mini episodio in quanto vi condivido

tre suggerimenti pratici per migliorare la comunicazione da un punto di vista proprio

concreto e pragmatico con i vostri collaboratori, interni esterni, part time, full time, qualunque

sia il modello che seguite.

Number one: cerca di essere più breve e coinciso possibile. Da quando ho effettuato questa

transizione da una situazione in ufficio dove la comunicazione era immediata e quasi se

vogliamo abusata, visto che comunicare è molto semplice, quindi ci sono interruzioni

continue, persone che viaggiano da una scrivania all'altra interrompendo altri colleghi, persone

che ascoltano la musica troppo alta e chi più ne ha più ne metta.. Quando ho fatto

questo shift una delle cose che di cui mi sono resa conto era la quantità di parole

inutili che utilizzavo ogni volta che o mi trovavo in una chiamata o in un meeting, oppure

scrivevo, per spiegare qualcosa o per rispondere a qualcuno.

Noi esseri umani o forse noi donne non lo so, questo commento forse non piacerà alle

femministe, però sì! Abbiamo la tendenza a parlare molto, quindi è probabile che questo

sia un problema che non avranno i maschietti. Io questo non lo so, però una delle cose

che ho notato è sicuramente la quantità di parole inutili che utilizzavo. Semplicemente

mi dilungavo un pochino troppo nelle spiegazioni e questo naturalmente e soprattutto in una

comunicazione da remoto non aiuta. Non aiuta ad andare dritti al punto e a far sì che

non ci siano dei fronti in diventi riguarda qual è l'obiettivo effettivo di questa comunicazione

e qual è la chiamata all'azione, cioè cosa bisogna fare poi. Quindi uno degli esercizi

che ho cominciato a fare appena ho fatto questo questa migrazione e che continuo a fare tutto

ora devo dire per mantenermi in allenamento è stato proprio cercare di ridurre la lunghezza

dei miei messaggi. Il che non significa che uno deve essere maleducato, nel senso, non

vuol dire essere, come dire, così concisi che sembriamo quasi arrabbiati, perché a

volte nella comunicazione telematica questo può accadere, no! Usiamo pure le nostre emoji,

i nostri smileys, le nostre gif, l'importante è che quando il messaggio è particolarmente

lungo venga e soprattutto articolato, venga comunque espresso nel modo più conciso e

sintetico possibile, magari in bullet points, in maniera tale che l'occhio possa anche scansionare

il testo e non ci si perda dentro. Inoltre non dimentichiamo il principio del

primacy recency, credo si chiami in inglese, non saprei come tradurlo in italiano ma non

ha alcuna importanza perché ve lo spiego. È il principio secondo il quale tutti tendiamo

a ricordare la prima e l'ultima cosa che vediamo o che ascoltiamo in una conversazione. Questo

cosa significa? Che se proprio proprio non possiamo non dilungarci, almeno cerchiamo

di inserire le informazioni principali all'inizio e alla fine del nostro messaggio, in maniera

tale che quello che non vogliamo venga assolutamente perso non verrà effettivamente perso. Tip

number two: rinforza i valori che rappresentano un pochino e che riflettono la tua azienda,

il team che lavora all'interno dell'organizzazione, piccola, media o grande che sia.

Questa è una cosa che può essere fatta in tanti modi. È un suggerimento molto utile

per preservare la cultura aziendale, laddove sia un elemento importante per te (come spero

che sia) ma non solo è anche uno strumento molto molto pratico per conoscere meglio i

tuoi collaboratori là dove magari non ci sia l'opportunità di incontrarsi, di scambiare

quattro chiacchiere molto spesso. Ripeto, la possibilità di rinforzare i propri valori

si manifesta in tante pratiche diverse. Quella che io preferisco è una pratica che prende

il nome di gratitude spree, quindi potremmo tradurla come la corsa alla gratitudine, che

avviene ogni lunedì all'inizio di ogni chiamata settimanale. Con tutto il team noi abbiamo

una sola chiamata nell'arco di tutta la settimana, una chiamata collettiva che appunto è al

lunedì mattina e che comincia con la gratitude spree, che consiste nel praticamente a turno

esprimere una o più cose per cui siamo grati quel giorno, quel weekend o quella settimana

che appena trascorsa e condividerla con tutti, qualcosa naturalmente che ci sentiamo a nostro

agio a condividere. Questo gratitude spree ha un doppio obiettivo o meglio ha una doppia

conseguenza positiva, che poi in realtà ho scoperto nel tempo mentre la applicavamo:

la prima è che quando magari qualcuno è un pochino down, un pochino giù, è successo

la qualunque nella propria nella propria vita, lo condivide con il team ma lo condivide sempre

portando quello che è l'aspetto più positivo della situazione. Non lo so, se per esempio

il sono particolarmente giù perché il mio cane è stato male nel corso del weekend sono

però particolarmente grata per il fatto che oggi sta meglio e quindi l'energia e il tono

che viene ad essere in qualche modo comunicato è completamente diverso rispetto a quello

che sarebbe se invece il fatto venisse raccontato dal punto di vista insomma del problema no

e non invece della brightside, quindi del lato positivo o chiamiamolo del lato più

costruttivo anche con cui vogliamo guardare il problema.

Il secondo e il duplice risultato di questo processo è che mi consente personalmente

di appunto capire se c'è qualcosina che non va magari nella vita personale dei miei collaboratori

e nel qual caso ecco capire come muovermi se appunto posso poi dare loro una mano da

un punto di vista di riorganizzazione delle proprie priorità. Quindi consente al team

di essere un pochino più aperto e trasparente là dove magari se non ci fosse questa occasione

la comunicazione non avverrebbe proprio e quindi diciamo che molte cose sarebbero date

per scontato o non sarebbero mai sapute. Tip number three: usare daily scrums! Non credo

ci sia una traduzione per questa pratica, il daily scrum è qualcosa che è una pratica

tra l'altro molto molto di moda. È stata molto di moda in realtà tempo fa, poi come

tutto è molto trendy per un periodo, lo fanno tutti, poi improvvisamente sparisce non lo

sente più nessuno. Noi abbiamo continuato a seguire la pratica dei daily scrum che è

qualcosa che facciamo ogni singolo gionro e ci consente di essere tutti sulla stessa

pagina, soprattutto appunto laddove non ci vediamo praticamente quasi mai se non una

volta ogni sei mesi se tutto va bene o una volta all'anno e quindi riuscire ad avere

un quadro complessivo di quello su cui ciascuno di noi sta lavorando, soprattutto per il coordinamento

è essenziale. Lo scrum deve seguire un pochino di regole, a mio avviso, per evitare che diventi

semplicemente una to do list dove si senza né arte né parte automatica che qualcuno

fa soltanto perché deve essere fatta. Che cosa sono queste regole?

Beh innanzitutto, per quanto ci riguarda all'inizio di ogni scrum, che altro non è, per chi non

sapesse che cos'è uno scrum è una lista di task principali, di focus principali che

vengono svolti nel corso della giornata. All'inizio della lista mettiamo sempre il focus principale

per la nostra settimana. Diciamo che ciascuno di noi lavora sempre ad un progetto principale,

che probabilmente richiede la maggior parte del tempo, che però non è l'unica cosa che

facciamo. Quindi il resto dello scrum possono essere o un breakdown di quel focus, se è

un focus particolarmente grande, quindi tutte le tasks che rientrano in quel focus per la

settimana, oppure altri tasks che non necessariamente sono collegate a quel focus. Però una scorsa

a tutti i focus di tutto il team è utilissima per capire se siamo tutti allineati o se magari

c'è qualche fraintendimento riguardo qual è la direzione che dobbiamo seguire in questo

momento. Un'altra regola importante è quella di non fare questi scrum, queste liste troppo

lunghe e quindi di non superare i 6 punti, che sono già tanti, perché poi diventano

soltanto delle liste di cose da fare infinite che diciamo è come se un po' andassero a

minare quello che è il significato vero dello scrum, che è quello proprio di definire un

pò le proprie priorità. In linea di massima per intenderci non ci dovrebbe essere nello

scrum un qualcosa che richiede più di due si meno di 2-3 minuti per essere fatta. Quella

non è più ecco quello è un follow up, quello è qualcosa di veloce che si può fare, ma

non è necessariamente qualcosa che vogliamo mettere nello scrum.

Quindi nello scrum si inseriscono tutte le cose che richiedono dai venti minuti in poi

perché posso dare presenta io direi anche mezz'ora in poi che rappresentano un pochino

ecco, richiedono un'attenzione un focus diversi rispetto a dei follow up a messaggi e mail

che magari possono essere fatti in pochi secondi e che in realtà sono più distrazioni che

non effettivamente il deep focus work che invece ci serve per portare avanti i progetti

principali. Una cosa importantissima a questo proposito

per far capire come utilizzare lo scrum nel modo più efficace possibile è comunicare

ai tuoi collaboratori che lo scrum non è uno strumento di controllo perché tu guardi

quello che viene fatto. Di fatto io raramente leggo uno scrum dall'inizio alla fine ma gli

do proprio una scorsa generale per avere un feeling generale di quello che sta accadendo.

Anche perché è molto utile a me per definire come promemoria rispetto appunto qual è il

focus che stiamo seguendo. Quindi annotato in passato grandi fraintendimenti riguardo

al perché questo scrum. Diciamo che in un team da remoto è importante ci siano delle

regole di base. Non c'è da timbrare il cartellino, c'è una grande flessibilità, si può lavorare

un po' quando si vuole però è importante che ci siano delle regole che vengono accordate

in modo comune da entrambe le parti. Una di queste per noi è lo scrum che non è una

condizione negoziabile cioè non è qualcosa che puoi scegliere se fare o no.

Naturalmente lo scrum va inviato prima che inizi la propria giornata lavorativa perché?

Ecco mi è capitato anche in passato di vedere scrum arrivare a fine giornata..ecco questo,

ancora una volta rende lo scrum del tutto inutile! Lo scrum serve proprio per dare un

gps direzionale per la giornata, sia individuale perché poi quando abbiamo una direzione precisa

da seguire la produttività va alle stelle, sia collettiva perché tutto il team sa dove

stiamo andando. Ecco queste quindi sono le tre tips che volevo condividere assolutamente
